The challenge: Revamping the entire hiring process in Japan

​The company invited KellyOCG® to develop an updated, tailored, onsite MSP solution—with dedicated resources—to bring Japan in line with their global contingent worker program.

To start, they were seeking a partner with strong knowledge of Japanese Haken (contingent labor) laws and the ability to place a native Japanese speaker onsite. Additionally, they desired:

  • Enhanced engagement with hiring managers throughout the hiring process
  • Better supply chain management/invoicing resolution
  • Compliance management of human resources data
  • Prompt employee relations
Overall, the goal was a significant improvement in the entire end-to-end
hiring process in Japan. 

The solution: Overcoming challenges and meeting needs

The KellyOCG hybrid MSP solution upgraded and aligned Japan with the global organization by solving the biggest challenges:

  • Stabilized all areas—hiring, extension, invoicing issues, and data compliance management.
  • Prioritized stakeholder management including hiring training and improved hiring processes.
  • Created a manual for suppliers and conducted supplier training.
  • Summarized information into a monthly report for easy understanding.
  • Proactively shared related updates with contractors.

We also conducted a compliance audit of workorders, identifying workers under the wrong category, rate, and contract period.

And finally, we set up a “Haken desk” to provide onsite support.

The client was thrilled with the optimized, aligned Japanese program.

Hiring and operations were proactively managed and stabilized with no  escalations since the Haken desk went live. A dashboard was created that provided workforce insights. Data discrepancies were uncovered and misassigned workers were placed in correct categories. Additionally

  • Invoicing error rate is 0% in 2024
  • 100% category compliance was attained
